Hope Exchange - Director Job Description

If you would like to combine your love of children with a summer job opportunity, here's Good News: St. Ann's Episcopal Church seeks applicants who are interested in serving as the Director of Hope Exchange, a summer reading program for East Nashville children who have completed grades 1-3.

The Hope Exchange Director is responsible for implementing the summer program, interacting with parents and children, and supervising the staff. The Director has the authority to carry out his or her responsibilities assigned within the framework of the policies, procedures, and budget approved by the St. Ann’s Vestry and Hope Exchange Steering Committee. In June and July, Director is a full-time employee; in March, April, and May, the job is part-time. The Hope Exchange Director reports to the St. Ann’s Rector.
 
Director’s Responsibilities
The Director's specific duties include but are not limited to the following:
General Responsibilities
* Strive to create and sustain a respectful and supportive learning environment where the gifts,      hopes and dreams of staff, children and caregivers are nurtured and cultivated
* Responsible for overall administration and budget management for Hope Exchange
* Help provide an atmosphere of hope, safety, and peace among the Hope Exchange family
 
March & April ~ part-time work
* Participate in Staff Hiring Process through recruitment and interviewing
* Meet with Hope Exchange Steering Committee and ad hoc Planning Committees
* Talk to parents & caregivers who contact St. Ann’s about the program
* Attend Wine Tasting fundraiser on Friday, April 17th
 
May ~ more involved part-time work
* Help prepare for and conduct the two-week pre-program staff training
* Recruit students and coordinate the student enrolment process with St. Ann’s staff
* Work closely with Hope Exchange Planning Committees to ensure all meals, guest readers,     field trips, and Parent & Caregiver Empowerment Dinners are properly scheduled and  planned
  
June ~ full-time pre-program work
* Continue meeting with Planning Committees, as needed
* With the Curriculum Coordinator, plan and lead the Staff Orientation, held on weekdays June  1-12 from 8 a.m. to 4 p.m.
* Attend Staff Orientation workshops, including CPR/First Aid and Prevention of Sexual    Misconduct workshop
* Attend St. Ann’s worship on Sunday, June 7 or 14 for a blessing from the parish
* Complete student enrollment process, making sure every student is registered and all parents  understand the dates of the program
 
June & July ~ full-time daily program responsibilities from 7:30-4:00 p.m.
* Able to be present every day of the five-week program from June 15 to July 17, except Friday,      July 3
* Responsible for contacting and working with parents as required
* Work closely with the Hope Exchange staff and St. Ann’s staff and volunteers in coordinating  and carrying out the Parent/Caregiver Orientation Dinners on Thursday nights during  the program
* Work daily with the Hope Exchange Assistant Director to ensure that all program elements are    scheduled, planned, staffed, etc.
* Organize and distribute all classroom and craft supplies, snacks, and equipment
* Inspect site for safety and cleanliness at the beginning and end of each day; oversee all program     clean-up procedures
* Cheerfully greet children and parents
* Oversee the daily sign-in and sign-out procedures for the daily program and Empowerment    Dinners
* Oversee morning volunteers, including visiting readers
* Help students on a one-on-one basis with reading, writing, and problem-solving
* Coordinate on-duty responsibilities with the St. Ann’s Rector and Hope Exchange Assistant Director to ensure constant coverage and supervision
* Provide supervision and monitor the safety of all children and staff
* Work closely with the staff to ensure that all weekly field trips are sufficiently supervised
* Define and monitor crisis management plan, including emergency procedures
* Employ conflict resolution measures with staff and/or parents when conflicts arise
* Hold daily staff meetings to gather feedback and plan for the following day
* Evaluate each staff member in one-on-one meetings during the program and in writing at the end of the program
* With the Assistant Director, oversee the planning of the Summer Finale on Thursday, July 16th
 
July 20-24 ~ Staff Debrief Week
* With the Curriculum Coordinator, lead staff discussions to evaluate the program
* Oversee inventory of supplies and books, storage of all materials, and clean-up of the physical     plant
* Leave an organized folder (or folders) of materials with your commentary for next year’s    Director
* Celebrate a wonderful job with the staff!
* Upon the completion of Hope Exchange 2009, submit a typed evaluation of the entire    program, including student, staff, and parent evaluations, inventories, and your  recommendations for the following season to the Hope Exchange Steering Committee (due within three weeks of the program’s end)
